We are looking for a Senior Administrator to join our busy administration team at Prince of Wales Surgery in Dorchester. This is an exciting opportunity for someone who is confident, highly organised and enjoys working with detail, who is ready to take on greater responsibility and develop their career within General Practice.
Clinical correspondence and workflow form a major part of this role, so accuracy, good judgement and attention to detail are essential. You will also provide support and guidance to other administrators, contribute to quality improvement and help us maintain efficient, consistent administrative processes.
This is a hands-on role for someone who enjoys being involved and making a difference. You will work closely with our Administration Lead and wider practice team, with opportunities to develop your skills in workflow, quality assurance, process improvement and team support.
For the right person, this role could provide a pathway towards future progression into a Deputy Administration Lead position.
The role is based at our Dorchester site and is not a hybrid or home-working position, with occasional support at our Portesham site as required.
Main duties of the job
As Senior Administrator, you will be a key member of our administration team, with the majority of your time focused on clinical correspondence and workflow.
You will:
- Process incoming clinical correspondence and workflow accurately and within agreed timescales.
- Apply appropriate read codes and identify, flag and route actions to the relevant clinician or team.
- Process hospital letters, discharge information, results and outpatient correspondence.
- Ensure patient records are accurate, complete and appropriately updated.
- Provide advice and support to Administrators, particularly with coding and more complex correspondence.
- Support quality checking, audits and monitoring of workflow.
- Help identify opportunities to improve processes, efficiency and consistency.
- Support the induction and development of less experienced colleagues.
- Undertake other administrative duties including third-party requests, summarising and general data administration.
You will need to be confident working independently within agreed protocols, with the ability to recognise when something requires escalation. Clinical decisions remain the responsibility of the appropriate clinician.

We are looking for an enthusiastic, accurate and patient-focused Dispenser to join our friendly dispensary team at Prince of Wales Surgery, based at our Portesham branch.
This is an excellent opportunity for an experienced Dispenser, or someone with relevant pharmacy/healthcare experience who is keen to develop their skills within a GP dispensary.

Job Summary
To provide a safe, efficient and patient-centred dispensing service, ensuring prescriptions are dispensed accurately and in accordance with practice procedures, dispensing regulations and Standard Operating Procedures (SOPs).
The role involves dispensing medications, supporting stock control processes, assisting patients with medication-related enquiries and contributing to the smooth day-to-day operation of the dispensary service.
The Dispenser will work closely with the Dispensary Lead and wider practice team to maintain high standards of patient care, safety, accuracy and service delivery. The post-holder will also support the training and development of Dispensary Administrators and contribute to continuous improvement within the dispensary.
Main Duties and ResponsibilitiesDispensing, Prescription Management and Patient Services- Dispense acute and repeat prescriptions accurately in accordance with SOPs and dispensing regulations.
- Ensure all dispensed items are prepared safely, accurately and within agreed timescales.
- Undertake final accuracy checks where appropriately trained and authorised.
- Support the safe processing, assembly and issuing of prescriptions.
- Resolve routine prescription queries and escalate complex issues to the Dispensary Lead, clinicians or management team as appropriate.
- Process medication requests in accordance with practice procedures and NHS regulations.
- Assist patients with medication-related enquiries in a professional and patient-focused manner.
- Promote appropriate medication ordering and support medication reconciliation where required.
- Prepare prescriptions and medication for collection, delivery services and care home requirements.
- Ensure prescription charges are collected and recorded accurately in accordance with practice procedures.
- Maintain accurate patient records and update information within the clinical system.
- Communicate effectively with patients, carers, healthcare professionals and colleagues.
- Support the ordering, receipt and storage of dispensary stock.
- Carry out stock rotation and expiry date checks to minimise waste and ensure patient safety.

- Ensure dispensary areas are maintained in a clean, safe and organised condition.
- Follow and comply with all dispensary SOPs, policies and procedures.
- Identify and report dispensing errors, near misses and risks in line with practice procedures.
- Assist with audits, quality improvement initiatives and DSQS requirements as requested.
- Support the induction, training and day-to-day guidance of Dispensary Administrators and new team members.
- Contribute to maintaining a positive, supportive and collaborative team environment.
- Undertake mandatory training and competency assessments as required.
