Job summary
The Practice Manager is a key member of the team and expected to demonstrate senior management and leadership qualities. The successful candidate will have the ability to identify and implement the practices objectives using a combination of personal involvement, motivation of other staff and delegation when appropriate.
The post is tasked with assessing organisational performance, developing achievable goals and implementing processes that improve organisational effectiveness and efficiency, ensuring statutory and other legal requirements are met.
Candidates are expected to bring strong interpersonal skills and be experienced and confident in the areas of HR, people management, financial control, strategic management and information technology.
Main duties of the job
With a hands-on approach, candidates must be conscientious, provide solid leadership and have a sound knowledge of strategic business management, finance, planning and HR.
The successful candidate will have responsibility for organisational leadership, service improvement and delivery of key targets across all clinical and administrative areas within the practice.
Working alongside the partners, you will be supported by an excellent administrative and clinical team and have overall responsibility for the day-to-day smooth running of this patient centric practice and its associated business.
You will have the vision, willingness and drive to adapt to NHS targets and its developing changes, within a profitable and efficient working environment.
Previous NHS healthcare management experience, excellent communication, team-working skills, proven senior leadership experience, a high-level IT literacy and analytical skill are the desired requirements for this post.
About us
This large 5 partner, GMS (General Medical Services) training and research practice has a steadily growing list size of c. 15,400 and is one of five practices which forms the Sale Central PCN (Primary Care Network) offering patient services to a combined list of c.63,500.
Whilst being clinically driven, the Practice also performs well financially and presents as a strongly democratic, happy and balanced team with good communication between the clinical team, partners and administration teams.
There is a strong team ethos within the Practice which is described as friendly and supportive,; and it is very important to the partners that this is maintained and developed. The Practice is a very comfortable place to work, with a warm atmosphere and good team of friendly staff. The Practice also has an emphasis on staff wellbeing and investment in development and training for its staff.

We are a large practice with a patient list size of circa 15,400. We are a Partnership of 5, with 12 Salaried GPs, a nursing team of 6, an experienced managerial team of 6 (Practice Manager, Business and Finance Manager, Deputy Practice Manager, Patient Services Manager, Medicines Manager, Administration Manager) and a friendly group of administrative and reception staff. We are a training as well as a learning practice and regularly have 7 Specialist Trainees, a Foundation Year 2 doctor and undergraduate students based here. We also offer learning opportunities to other grades and have a large apprenticeship programme operating for clinical, managerial and administrative staff. We are active in our local, supportive, Primary Care Network and have excellent relationships with external stakeholders.

Job responsibilities
Administration
Daily allocation of bloods including filing of non-clinical bloods, out of hours.
Logging and circulating alerts, notifications, general updates.
Liaise with third parties for general maintenance, servicing and repairs. Regularly updating the maintenance logs via TeamNet or other systems.
Coordination of the room booking including liaising with third parties for booking requests
Liaising with reps.
Prepare and circulate meeting agendas and minutes of meetings as required.Appointment bookings organise meetings within Emis system.
Work alongside the rota coordinator to ensure meetings, room booking documented within the Emis system.
Working alongside nursing team providing administration support including monthly check, data loggers, fridges.Provide confidential administrative support to the Practice Manager and Business and Finance Manager as required.
Assisting Practice Manager with any research queries.
Accounts and Funding Claims Administration
Ordering of supplies including office, clinical, cleaning, vaccinations. Tracking and storing all supplies.
Undertake purchase and sales ledger accounts administration including maintaining up to date customer and supplier lists, raising sales invoices and processing purchase invoices.
Maintaining the accounting email inbox.Produce monthly supplier payment run and verifying payments alongside Business and Finance Manager
Completing monthly PPA form.
